Automation steps. Your assistant follows these 4 steps each time it runs, using your connected email and calendar.
- 01
Before each of my recurring one-on-ones, write me a short prep doc.
- 02
Identify who it's with, then pull open items from our last one-on-one, anything they've emailed or messaged me about recently, decisions or approvals they're waiting on, and topics I flagged to raise.
- 03
Carry forward what was open last time so it's a running thread, and leave room for my own talking points.
- 04
Keep it tight.
Adjust the automation in chat
Tell your assistant what to do differently and it sets up that version for you.
- Only generate prep notes for one-on-ones with direct reports.
- Deliver the prep notes a day before the meeting instead of an hour before.
- Include open Linear tasks assigned to the attendee.
Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.
What starts this automation
Runs 1 hour before a meeting with “1:1” in its title. When you add it, choose the lead time and which meeting titles to match.
Only useful reports
When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.
What it does on its own
Creates the prep doc in your private notes. Never sends or shares it with anyone. An automated run has no tool that sends, posts, shares, or deletes anything.
This automation reads your email and calendar. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect. It also uses your team chat, tasks, meeting notes when connected.

Questions about this automation.
- How do I set this up?
- Open your assistant on the Agents page in Fieldwork, locate One-on-one prep in the job library, and click Add. The setup card will prompt you to connect your calendar and email first if they are not already linked, and you can confirm or adjust the 60 minute timing.
- What does it do on its own versus waiting for me?
- The automation compiles information from your connected systems and saves a private prep doc to your notes. It never shares documents, sends messages to meeting participants, or alters your calendar.
- Where do the results arrive?
- Your prep doc arrives directly in your assistant conversation and can also be sent to your email. If no meeting on your calendar matches the one-on-one filter, the assistant remains quiet.
- Which meeting titles will trigger this automation?
- By default, it watches your calendar for any event with 1:1 in the title. You can ask your assistant in chat at any time to match other phrases, such as One-on-One or specific attendee names.

No training on your data
Neither we nor our model providers train on your data. Inference runs with zero retention wherever the provider supports it.
Access
Agents only see what the person asking can see. Conversations, files, apps and connections stay private until shared, and admins have no way into conversations.
Encryption and isolation
Data is encrypted at rest and in transit. Each user's code runs in its own microVM, and secrets reach models by name only.
Continuity
Continuous backups, replicated to a second region. Data is exported on request and deleted within 30 days of a contract's end.
