Meeting action hand-offs
Output
Meeting notes reviewed for the Harbor & Pine wholesale planning sync on September 17. Two personal tasks were added to Linear, and two delegated hand-offs are prepared below.
Tasks added for Maya in Linear
- Review Noor Hale's proposal revisions for Driftline Supply Co by September 21.
- Share updated margin targets for Cascade Merino Crew with Lena Vale by September 18.
Proposed Slack hand-off to Cal Brook Proposed message for #wholesale: Cal, please follow up with Tess Rook at Saltmarsh General regarding the open $6,200 order inquiry by Friday. Let Maya know if their delivery window changed.
Draft email to Ada Fern Waiting in drafts: Subject: Mossbank Textiles lead times for Alder Wool Throw Hi Ada, Could you share production lead times for Alder Wool Throw in Ember Stripe and Fog Stripe once Lena confirms our color breakdown? Thanks, Maya
Open question The transcript did not specify who will verify Portland warehouse pallet space with Owen Reed for incoming Fernwick Packing cartons. This task was left unassigned rather than guessed.
Automation steps. Your assistant follows these 4 steps each time it runs, using your connected email and calendar.
- 01
After each of my meetings, read the notes or transcript and pull out the decisions, the action items with an owner and due date each, and the open questions.
- 02
Add my own action items to my task tracker.
- 03
For each item that belongs to someone else, draft the hand-off to them with the part that's theirs: product items to the product lead, a customer ask to the account owner.
- 04
Keep my own commitments separate and obvious, and flag anything the transcript left ambiguous rather than guessing.
Adjust the automation in chat
Tell your assistant what to do differently and it sets up that version for you.
- Put my personal action items into Todoist instead of Linear.
- Only pull tasks from meetings that include external wholesale partners.
- Draft all delegated hand-offs as email drafts in Google Workspace.
Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.
What starts this automation
Runs after a meeting is transcribed.
Only useful reports
When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.
What it does on its own
Creates tasks for you and drafts hand-offs. Every delegated message waits for you to send. An automated run has no tool that sends, posts, shares, or deletes anything.
This automation reads your email and calendar. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect. It also uses your tasks, team chat, meeting notes when connected.

Questions about this automation.
- How do I set this up?
- Open your assistant on the Agents page in Fieldwork, locate Meeting action hand-offs in the job library, and choose Add. The setup card will prompt you to connect Google Workspace or Microsoft 365, plus your task tracker and meeting tool if they are not connected yet. It begins running right after every recorded meeting transcript is ready.
- What does it do on its own versus waiting for me?
- It creates personal tasks in your connected tracker and prepares message drafts for your teammates. It never sends emails, posts chat messages, or changes calendar events on its own, so every delegated communication waits for your final approval.
- Where do my results arrive?
- Updates appear directly in your conversation with your assistant and can also be sent to your email inbox. If a meeting ends with no decisions or action items, your assistant leaves a short note or stays quiet.
- How does it handle tasks with missing owners or dates?
- When an action item lacks a clear owner or due date in the transcript, the assistant flags it under open questions instead of making assumptions. You can quickly assign the task in chat or follow up directly with your team.

No training on your data
Neither we nor our model providers train on your data. Inference runs with zero retention wherever the provider supports it.
Access
Agents only see what the person asking can see. Conversations, files, apps and connections stay private until shared, and admins have no way into conversations.
Encryption and isolation
Data is encrypted at rest and in transit. Each user's code runs in its own microVM, and secrets reach models by name only.
Continuity
Continuous backups, replicated to a second region. Data is exported on request and deleted within 30 days of a contract's end.
