Delegation tracker

Output

Harbor & Pine has two quiet handoffs waiting on other team members, and one item waiting on you. Scans covered Google Workspace sent mail and Granola meeting notes from the past two weeks.

Waiting on others

  • Lena Vale: Portland fulfillment checklist update Requested by email on September 9, due September 11. No reply in email or Slack. A gentle nudge is waiting in drafts.
  • Cal Brook: Driftline Supply Co proposal status Requested during the September 7 pipeline review for the $18,400 wholesale proposal. No update recorded. A follow-up note is waiting in drafts.

Waiting on you

  • Sol Varga: Q4 goals sign-off Sol shared the draft document after the September 8 leadership sync and asked for your feedback before today's review.

Drafts ready in Google Workspace

To Lena Vale (lena@example.com): Subject: Quick check on Portland fulfillment checklist Hi Lena, checking in on the Portland fulfillment checklist update we discussed last week. Let me know if you need any adjustments before we lock it down.

To Cal Brook (cal@example.com): Subject: Driftline Supply Co proposal check-in Hi Cal, let me know if Noor has responded regarding the $18,400 proposal for Driftline Supply Co, or if you need any help from my side.

Automation steps. Your assistant follows these 5 steps each time it runs, using your connected email and calendar.

  1. 01

Each Monday, find what I've handed off and not got back.

  2. 02

Scan my sent email and meeting notes for things I asked someone to do ("can you own…", "send me… by Friday") and track each with its owner and due date.

  3. 03

Flag those that have gone quiet: no reply, no deliverable, past the date, or just aging.

  4. 04

For each where the ball is in their court, draft a short, friendly nudge in my voice.

  5. 05

Separate what's waiting on others from what's waiting on me, and don't re-nudge anything already resolved.

Adjust the automation in chat

Tell your assistant what to do differently and it sets up that version for you.

  • Only track handoffs that are at least four days overdue.
  • Do not draft follow-ups for requests sent to Sol Varga.
  • Include open asks made in the #buying Slack channel.

Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.

Adjustable schedule

Runs every Monday at 08:00 by default. Pick another time when you add it, or ask in chat for a custom schedule.

Only useful reports

When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.

What it does on its own

Tracks open hand-offs and drafts nudges. Every follow-up email waits for you to send. An automated run has no tool that sends, posts, shares, or deletes anything.

This automation reads your email and calendar. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect. It also uses your meeting notes, team chat when connected.

Questions about this automation.

How do I set this up?
Open your assistant on the Agents page in Fieldwork, locate Delegation tracker in the job library, and click Add. The card prompts you to link Google Workspace or Microsoft 365 if not connected yet, along with Granola, Fireflies, or Slack. It begins on Mondays at 8:00 AM, though you can adjust that schedule upon adding it.
Does it send follow-up emails on its own?
No, it only reviews past exchanges and prepares proposed follow-up messages. The nudges are placed in your email drafts folder for you to review and send yourself, and the assistant never sends emails, deletes messages, or posts to Slack.
Where do the weekly updates arrive?
Your weekly delegation review appears as a message directly in your Fieldwork chat, and you can choose to receive it by email as well. If there are no open or quiet handoffs to report, it sends a brief note or remains quiet.
Can I run this delegation check during the week?
Yes, you can ask your assistant in chat to check your open handoffs at any point between scheduled runs. It will immediately scan your sent messages and meeting notes and create drafts for any stalled tasks.

  • Access

Agents only see what the person asking can see. Conversations, files, apps and connections stay private until shared, and admins have no way into conversations.

  • Encryption and isolation

Data is encrypted at rest and in transit. Each user's code runs in its own microVM, and secrets reach models by name only.
