Automation steps. Your assistant follows these 3 steps each time it runs, using your connected email and calendar.
- 01
When an email arrives that moves a deal along (a discovery call done, a proposal sent, a client reply, contract activity), recognize the stage and set the matching follow-ups with real due dates: the proposal out within a few days of discovery, then follow-ups at set intervals after the proposal and after the contract.
- 02
Keep the deal current in my CRM.
- 03
Flag anything that slips past its window, and draft any outreach to the client.
Adjust the automation in chat
Tell your assistant what to do differently and it sets up that version for you.
- Wait five business days before drafting the first proposal follow-up.
- Create follow-up tasks in Notion instead of Linear.
- Only track wholesale deals valued over $10,000.
Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.
What starts this automation
Runs as new mail arrives in your inbox. It reads the mailbox you choose when you add it.
Only useful reports
When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.
What it does on its own
Creates follow-up tasks and updates your CRM. Outreach to clients waits in your drafts to send. An automated run has no tool that sends, posts, shares, or deletes anything.
This automation reads your email and calendar. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect. It also uses your CRM, tasks when connected.

Questions about this automation.
- How do I set this up?
- Open your assistant on the Agents page in Fieldwork, find Proposal follow-ups in the job library, and choose Add. The card helps you connect Google Workspace, HubSpot, and your task manager if they are not linked yet, and monitoring starts as new mail arrives.
- Will it send emails to clients on its own?
- No. It creates follow-up tasks and updates deal stages in your CRM on its own, but outreach to clients stays in your email drafts for you to review and send.
- Where do updates arrive?
- Results arrive as a message in your conversation with your assistant, and Fieldwork can email them to you too. When an incoming email does not advance any deal, it stays quiet.
- How are task due dates scheduled?
- It sets dates based on standard sales steps, scheduling the proposal due a few days after discovery and spacing later reminders after that. You can ask your assistant in chat to change those time intervals.

No training on your data
Neither we nor our model providers train on your data. Inference runs with zero retention wherever the provider supports it.
Access
Agents only see what the person asking can see. Conversations, files, apps and connections stay private until shared, and admins have no way into conversations.
Encryption and isolation
Data is encrypted at rest and in transit. Each user's code runs in its own microVM, and secrets reach models by name only.
Continuity
Continuous backups, replicated to a second region. Data is exported on request and deleted within 30 days of a contract's end.
