Cal, here is your weekly wholesale pipeline hygiene review for Harbor & Pine in HubSpot.

You have three open deals totaling $34,200. Two deals require attention to keep records accurate.

  • Driftline Supply Co ($18,400, contact Noor Hale)
    • Issue: Proposal sent, but the close date passed on September 11 with no next task scheduled.
    • Last moved: September 4, 10 days ago.
    • Fix: Update the target close date and add a follow-up task for Noor.

Gone quiet

  • Saltmarsh General ($6,200, contact Tess Rook)
    • Issue: Deal has been inactive for 25 days with no logged emails or calls.
    • Last moved: August 20, 25 days ago.

Automation steps. Your assistant follows these 3 steps each time it runs, using your connected CRM.

  1. 01

Each Monday morning, go through my open deals in the CRM and flag those rotting or under-maintained: no recent activity, no next step, a close date that has passed or been pushed more than once, a missing amount, stage or contact, or a deal stuck in one stage far longer than usual.

  2. 02

For each, say what's wrong, when it last moved, and the specific fix.

  3. 03

Group them as past-due close dates, gone quiet, and missing data, biggest and latest-stage first.

Adjust the automation in chat

Tell your assistant what to do differently and it sets up that version for you.

  • Only flag deals that have been inactive for more than fourteen days.
  • Exclude deals under $5,000 from the report.
  • Group flagged deals by deal owner and sales stage.

Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.

Adjustable schedule

Runs every Monday at 06:30 by default. Pick another time when you add it, or ask in chat for a custom schedule.

Only useful reports

When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.

What it does on its own

Flags stale deals and missing fields in your CRM. Changes nothing on its own. An automated run has no tool that sends, posts, shares, or deletes anything.

This automation reads your CRM. Connect HubSpot, Attio, or Affinity to Fieldwork. The automation uses whichever you connect.

Questions about this automation.

How do I set this up?
Open your assistant on the Agents page in Fieldwork, locate this automation in the job library, and choose Add. If HubSpot, Attio, or Affinity is not connected, the setup card prompts you to link your account. The review starts on its suggested schedule of Monday at 6:30 AM, which you can modify when adding it.
Does it update deals or contact clients on its own?
It never edits deal stages, changes close dates, deletes records, or sends emails. The automation only reviews your records and flags gaps so you can make changes yourself.
Where do the results arrive?
Results arrive as a message in your conversation with your assistant, and Fieldwork can email them to you as well. If every deal is current and complete, your assistant gives a brief confirmation or remains quiet.
Can I run this check on demand before a sales meeting?
You can ask your assistant in chat to audit your pipeline at any time outside the scheduled Monday run. You can also tell your assistant in chat if you want to alter inactivity rules or stage definitions.

  • No training on your data

Neither we nor our model providers train on your data. Inference runs with zero retention wherever the provider supports it.

  • Access

Agents only see what the person asking can see. Conversations, files, apps and connections stay private until shared, and admins have no way into conversations.

  • Encryption and isolation

Data is encrypted at rest and in transit. Each user's code runs in its own microVM, and secrets reach models by name only.

  • Continuity

Continuous backups, replicated to a second region. Data is exported on request and deleted within 30 days of a contract's end.
