Pickup conflicts

Output

One calendar conflict needs attention for tomorrow, Friday, September 18. Both pickups overlap at 3:30 PM.

Sam is scheduled to cover Rowan's Alderbrook Owls soccer drop-off across town at 3:30 PM, leaving Juniper's dismissal from Mr. Okafor's third grade at Alderbrook School open. Your Harbor & Pine afternoon focus block runs until 4:00 PM.

Today, Thursday, September 17, is clear. Both pickups are covered as planned.

A proposed fix is for Bea to pick up Juniper, or for Sam to arrange a carpool for Rowan. A draft email to Sam is waiting in your drafts folder for review.

Subject: Friday pickup clash for Juniper and Rowan

Hi Sam,

Tomorrow afternoon we have an overlap at 3:30 PM. You are down for Rowan's Alderbrook Owls soccer drop-off, which leaves Juniper's pickup with Mr. Okafor uncovered while I am tied up with Harbor & Pine work. Can you check if another Owls family can drive Rowan, or should I ask Bea to take Juniper?

Automation steps. Your assistant follows these 4 steps each time it runs, using your connected email and calendar.

  1. 01

Each afternoon, check today's and tomorrow's pickups, drop-offs, practices and activities across the family calendars I can see.

  2. 02

Flag conflicts, gaps and double bookings, such as two children needing pickup at the same time in different places, and who is covering what from whose calendar each event is on.

  3. 03

Point out anything that needs a carpool, a sitter or a change, and draft the message for any fix.

  4. 04

Stay quiet when the day is clean.

Adjust the automation in chat

Tell your assistant what to do differently and it sets up that version for you.

  • Only flag conflicts that do not have an assigned driver.
  • Check three days ahead on Thursdays instead of two.
  • Draft an email to Bea instead of Sam when Juniper needs a ride.

Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.

Adjustable schedule

Runs every day at 14:00 by default. Pick another time when you add it, or ask in chat for a custom schedule.

Only useful reports

When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.

What it does on its own

Finds calendar clashes and drafts messages on its own. Every message waits for you to send. An automated run has no tool that sends, posts, shares, or deletes anything.

This automation reads your email and calendar. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect.

Questions about this automation.

How do I set this up?
Open your assistant on the Agents page in Fieldwork, find Pickup conflicts in the job library, and choose Add. If your Google Workspace or Microsoft 365 account is not connected yet, the card prompts you to link it first. It starts on the default daily 2:00 PM schedule, which you can modify when adding it.
What does it do on its own versus waiting for me?
It checks your family calendars and drafts coordination messages on its own. It never sends emails, alters your calendar, or deletes entries, leaving every draft waiting in your own drafts folder for review.
Where do results arrive?
Results arrive as a message in your ongoing conversation with your assistant and can also be sent by email. When there are no pickup conflicts across your family calendars, it gives a brief confirmation or remains quiet.
Can I run the check earlier in the day?
You can ask your assistant in chat to run the pickup check anytime you need an early look. If you want to permanently change the daily 2:00 PM timing, tell your assistant in chat how you would like to adjust it.
