Deal flow to pipeline
Output
Hale, two messages were parsed from your Google Workspace inbox this morning and logged to Affinity. LP communication and portfolio governance mail were separated from deal flow.
High priority: Quillwork Labs
- Company: Quillwork Labs
- Founder: Avery Stone
- Stage: Series A round
- Priority: High. Avery shared a term sheet from a lead investor.
- Affinity status: New deal record created and deduplicated against earlier email threads. Deck and data room access details were extracted to the deal record.
- Flagged item: Avery asked for your perspective on valuation terms before the weekend. Nothing was sent to Avery.
Escalation: Tidewater Health
- Company: Tidewater Health
- Founder: Rui Banks
- Priority: Escalated. Rui missed a promised deadline to supply the revised operating model by September 15.
- Affinity status: Existing pipeline entry updated with the late submission notice.
Filtered non-deal messages
- Bramble Family Office: Edith Shore sent an inquiry regarding annual distributions. This was routed to fund administration and excluded from pipeline records.
- Harbor & Pine: Maya Calder sent materials for the upcoming board review. This was filed under your board commitments and kept separate from incoming deal flow.
Both deals are ready for your review in Affinity. No emails were drafted or sent.
Automation steps. Your assistant follows these 4 steps each time it runs, using your connected email and calendar.
- 01
As mail arrives, recognize deal flow (introductions, pitch decks, data-room links) and parse each into company and founder details.
- 02
Log it to my CRM or deal tracker, deduplicating by thread.
- 03
Keep LP and fund-administration mail separate from deal flow.
- 04
Score each deal and tell me about the high-priority ones: a term sheet is always top, and a founder who missed a promised deadline gets escalated.
Adjust the automation in chat
Tell your assistant what to do differently and it sets up that version for you.
- Only log pitch decks that include a financial model or term sheet.
- Tag inbound introductions from other venture partners as high priority.
- Send me an alert only when a deal is scored as high priority.
Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.
What starts this automation
Runs as new mail arrives in your inbox. It reads the mailbox you choose when you add it.
Only useful reports
When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.
What it does on its own
Logs new deals to your CRM or tracker on its own. Never replies to founders. An automated run has no tool that sends, posts, shares, or deletes anything.
This automation reads your email and calendar. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect. It also uses your CRM, files when connected.

Questions about this automation.
- How do I set this up?
- Open your assistant on the Agents page in Fieldwork, locate this job in the library, and select Add. If your email account or CRM such as Affinity or HubSpot is not linked yet, you can connect them right from the card. The job begins running whenever new mail arrives in your chosen inbox.
- Does it ever contact founders or update records on its own?
- It extracts details from pitch materials and logs new deals to your CRM automatically. It never sends emails, replies to founders, deletes records, or changes your calendar. Following up and sending replies remain entirely up to you.
- Where do deal summaries arrive?
- Updates appear directly in your conversation with your assistant, and you can also receive them by email. If an incoming message contains no deal flow or items needing your attention, your assistant stays quiet or provides a brief note.
- How does it separate deal flow from LP correspondence?
- Your assistant reviews the sender, message context, and attachments to distinguish investment decks from investor relations or administrative notes. Messages from limited partners or fund service providers are sorted out and never added to your pipeline.

No training on your data
Neither we nor our model providers train on your data. Inference runs with zero retention wherever the provider supports it.
Access
Agents only see what the person asking can see. Conversations, files, apps and connections stay private until shared, and admins have no way into conversations.
Encryption and isolation
Data is encrypted at rest and in transit. Each user's code runs in its own microVM, and secrets reach models by name only.
Continuity
Continuous backups, replicated to a second region. Data is exported on request and deleted within 30 days of a contract's end.
