Contract renewal tracker
Output
Theo, here is the contract renewal update for Harbor & Pine. One vendor contract requires a decision before the end of this month.
Fernwick Packing is up for annual auto-renewal on October 30, 2026. The agreement requires 30 days written notice to renegotiate or cancel, which sets your notice deadline at September 30, 2026.
Here is the current status of active agreements tracked from Google Workspace:
| Counterparty | Type | Value | Renewal date | Auto-renews | Notice deadline |
|---|---|---|---|---|---|
| Fernwick Packing | Packaging supply | $24,000 | Oct 30, 2026 | Yes | Sep 30, 2026 |
| Mossbank Textiles | Master supply | $85,000 | Dec 31, 2026 | Yes | Nov 30, 2026 |
| Covebend Ceramics | Production order | $12,500 | Jan 15, 2027 | No | Dec 15, 2026 |
Upcoming notice deadlines
- Fernwick Packing: 16 days remain before the September 30 notice deadline. The contract auto-renews for another 12 months at existing packing material rates unless notice is served.
- Mossbank Textiles: 77 days remain before the November 30 notice deadline. Auto-renews for the 2027 calendar year.
Document flags
- A scanned PDF attached to an email from Robin Vale on September 11 titled Packing Agreement Addendum could not be read clearly due to low resolution. The fee adjustment schedule was not parsed, so dates and amounts were not guessed. You may want to review that attachment directly.
Automation steps. Your assistant follows these 4 steps each time it runs, using your connected email and calendar.
- 01
Twice a week, keep a living tracker of my vendor and customer contracts: counterparty, value, renewal date, whether it auto-renews, and the notice deadline, the real date I have to act by.
- 02
When a new contract or renewal notice lands in my email, read the attachment and update the tracker.
- 03
Alert me ahead of each notice deadline with enough time to decide, auto-renewing and big-ticket contracts first.
- 04
Flag a contract you couldn't read rather than guessing its dates.
Adjust the automation in chat
Tell your assistant what to do differently and it sets up that version for you.
- Only alert me for contracts with an annual value above $10,000.
- Give me the first notice alert 60 days before the deadline instead of 30.
- Include customer wholesale agreements alongside vendor contracts.
Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.
Adjustable schedule
Runs every Monday and Thursday at 09:00 by default. Pick another time when you add it, or ask in chat for a custom schedule.
Only useful reports
When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.
What it does on its own
Keeps your contract tracker and flags notice deadlines on its own. Changes nothing else. An automated run has no tool that sends, posts, shares, or deletes anything.
This automation reads your email and calendar. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect. It also uses your files when connected.

Questions about this automation.
- How do I set this up?
- Go to your assistant on the Agents page in Fieldwork, locate Contract renewal tracker in the job library, and choose Add. The card prompts you to connect Google Workspace or Microsoft 365 if you have not linked them yet. It starts running every Monday and Thursday at 9:00 AM, and you can edit that schedule when you add it.
- What does the tracker do on its own?
- It keeps your contract tracker current and flags upcoming notice deadlines in your report without taking actions outside. It never sends notices, contacts vendors, cancels subscriptions, or changes your files.
- Where do my contract alerts arrive?
- Updates arrive as a message in your conversation with your assistant and can also be sent to your email. When no contracts need review and no deadlines are close, it gives a short update or stays quiet.
- What happens if a contract document is unreadable or missing key dates?
- Fieldwork leaves unconfirmed dates blank and flags the document in your update rather than guessing. You can review the file yourself or tell your assistant the correct terms in chat to update the record.

No training on your data
Neither we nor our model providers train on your data. Inference runs with zero retention wherever the provider supports it.
Access
Agents only see what the person asking can see. Conversations, files, apps and connections stay private until shared, and admins have no way into conversations.
Encryption and isolation
Data is encrypted at rest and in transit. Each user's code runs in its own microVM, and secrets reach models by name only.
Continuity
Continuous backups, replicated to a second region. Data is exported on request and deleted within 30 days of a contract's end.
