Subject: Harbor & Pine weekly cash update - September 14

Hi Maya,

Here is our cash position to start the week.

Total cash on hand is $84,200. With our trailing four-week net burn averaging $7,100 per week, estimated runway is 11.8 weeks.

We have $2,200 in wholesale receivables outstanding. Of that total, $1,800 is overdue, including Ternlight Outpost ($600) and Brackenfold Goods ($1,200 across two older invoices). Near-term bills total $14,500 over the next two weeks, including our $8,200 fabric bill MT-201 to Mossbank Textiles due Friday.

I will track wholesale collections closely and flag any material change.

Automation steps. Your assistant follows these 3 steps each time it runs, using your connected accounting.

  1. 01

Each Monday morning, draft my weekly cash update from my real numbers: cash on hand, expected collections, upcoming payments, net burn, and runway at current burn.

  2. 02

Lead with the headline figures, then a short narrative of what changed since last week and why: a large receipt, a big payment going out, a customer newly overdue, or burn moving the wrong way.

  3. 03

If a source didn't refresh or a number looks off, say so rather than guessing.

Adjust the automation in chat

Tell your assistant what to do differently and it sets up that version for you.

  • Send the update every Tuesday at 8:00 AM instead of Monday.
  • Highlight any upcoming bill over $5,000 in the headline figures.
  • Draft the email update to Maya Calder and Sol Varga together.

Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.

Adjustable schedule

Runs every Monday at 07:30 by default. Pick another time when you add it, or ask in chat for a custom schedule.

Only useful reports

When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.

What it does on its own

Calculates cash figures and drafts the weekly narrative. Waits for you to review and send. An automated run has no tool that sends, posts, shares, or deletes anything.

This automation reads your accounting. Connect Xero, Business Central, or QuickBooks to Fieldwork. The automation uses whichever you connect. It also uses your files, email and calendar when connected.

Questions about this automation.

How do I set this up?
Open your assistant on the Agents page in Fieldwork, find Weekly cash update in the job library, and select Add. If Xero is not connected yet, the card prompts you to link it, and the automation begins on Mondays at 7:30 AM unless you choose another time.
What does it do on its own versus waiting for me?
It calculates runway, burn, and balances from Xero, then places a prepared update in your drafts folder. It never sends messages, pays bills, transfers money, or alters your books, leaving the final check and send to you.
Where do the results arrive?
The breakdown appears as a message in your chat conversation with your assistant each Monday morning, with an optional email copy sent to your inbox. When there is nothing new to report, it stays quiet or sends a brief note.
Can I run this cash update outside of the regular schedule?
Yes, you can ask your assistant in chat to run a cash update whenever you need one. It will pull current numbers from Xero and write a fresh report immediately.
