Needs clarification

  • Aug 20, 2026 (Tidewater Health): The calendar entry lists the location as Coffee Shop without a street address. Distance was not calculated. If you share the exact address, I can add it to this log.

No flights or long-distance travel appeared on your calendar for August. Let me know if you would like any adjustments before you record these amounts.

Automation steps. Your assistant follows these 4 steps each time it runs, using your connected email and calendar.

  1. 01

On the first of each month, scan last month's calendar for in-person client meetings with a physical location.

  2. 02

For each, work out the round-trip driving distance from my home, which you should ask me for if you don't know it, and apply the current IRS standard mileage rate.

  3. 03

Lay it out per trip (date, client, destination, miles, amount) with the monthly total.

  4. 04

Skip trips I flew to, and flag a meeting with a missing or unclear location rather than guessing.

Adjust the automation in chat

Tell your assistant what to do differently and it sets up that version for you.

  • Set my starting home address to Lake Oswego.
  • Only include trips for Harbor & Pine.
  • Flag meetings where I did not list any client name in the title.

Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.

Adjustable schedule

Runs on the 1st of every month at 09:00 by default. Pick another time when you add it, or ask in chat for a custom schedule.

Only useful reports

When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.

What it does on its own

Calculates trip distances and prepares the monthly log on its own. Changes nothing. An automated run has no tool that sends, posts, shares, or deletes anything.

This automation reads your email and calendar. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect. It also uses your files when connected.

Questions about this automation.

How do I set this up?
Open your assistant on the Agents page in Fieldwork, find the automation in its job library, and choose Add. If Google Workspace or Microsoft 365 is not connected yet, the card offers to connect it first. It starts on the suggested timing of the first of every month at 9:00 AM, which you can change when you add it.
What does it do on its own and what waits for me?
It scans your calendar, works out round-trip distances, and prepares your monthly log on its own. It never edits your calendar, records expenses, sends invoices, or shares anything with outside clients.
Where do results arrive?
Results arrive as a message in your conversation with your assistant, and can be emailed to you too. When no driving trips were found on your calendar for the month, it says so briefly or stays quiet.
How does it handle incomplete locations or flights?
If an event has a missing or vague address, the log flags it for review rather than guessing the mileage. Any travel that involves flights is skipped automatically based on your calendar events.
