Automation steps. Your assistant follows these 3 steps each time it runs, using your connected email and calendar.
- 01
Each Friday afternoon, reconstruct my billable time for the week by client from my calendar, email and documents.
- 02
Show the evidence behind each block (the meeting, thread or file it came from) and flag work that looks billable but hasn't been logged.
- 03
Label every number an estimate; I'll confirm the final hours.
Adjust the automation in chat
Tell your assistant what to do differently and it sets up that version for you.
- Include round-trip driving time from Lake Oswego for all on-site client visits.
- Flag any client email thread with more than three replies that lacks a time entry.
- Separate billable travel hours from active project work in the tables.
Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.
Adjustable schedule
Runs every Friday at 16:00 by default. Pick another time when you add it, or ask in chat for a custom schedule.
Only useful reports
When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.
What it does on its own
Reconstructs your weekly billable time for review on its own. Changes nothing. An automated run has no tool that sends, posts, shares, or deletes anything.
This automation reads your email and calendar. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect. It also uses your files, meeting notes, accounting when connected.

Questions about this automation.
- How do I set this up?
- Go to the Agents page in Fieldwork, open your assistant, find this automation in the job library, and choose Add. The card prompts you to connect Google Workspace or Microsoft 365 if needed, and it starts on the suggested timing of every Friday at 4:00 PM.
- What does the automation do on its own versus what waits for me?
- It reconstructs your weekly billable hours and presents the evidence on its own. It never enters time into QuickBooks, creates invoices, or modifies documents, so final hours remain yours to approve.
- Where do my weekly recaps arrive?
- Results arrive as a message in your conversation with your assistant, and Fieldwork can email them to you as well. If no client work took place during the week, it sends a brief update or stays quiet.
- How does it detect unlogged billable work?
- It checks your connected calendar, emails, and file edits against existing entries in your accounting software. Any client meetings, extended message threads, or document revisions without matching records get flagged as unlogged estimates.

No training on your data
Neither we nor our model providers train on your data. Inference runs with zero retention wherever the provider supports it.
Access
Agents only see what the person asking can see. Conversations, files, apps and connections stay private until shared, and admins have no way into conversations.
Encryption and isolation
Data is encrypted at rest and in transit. Each user's code runs in its own microVM, and secrets reach models by name only.
Continuity
Continuous backups, replicated to a second region. Data is exported on request and deleted within 30 days of a contract's end.
