Meeting brief
Output
Prioritize closing terms on the $18,400 opening wholesale order for Driftline Supply Co before discussing custom display fixtures.
Meeting: September 17, 2026, 10:00 AM Portland time (starts in 60 minutes).
Attendees
- Maya Calder, owner, Harbor & Pine
- Cal Brook, wholesale sales lead, Harbor & Pine
- Noor Hale, founder and buyer, Driftline Supply Co
HubSpot deal status
- Deal stage: Proposal sent ($18,400 wholesale value).
- Products proposed: Cascade Merino Crew, Ridgeline Rain Shell, and Alder Wool Throw.
Past commitments and history
- Cal sent the proposal on September 10 using Google Workspace.
- Noor emailed on September 14 to ask about net 60 payment terms instead of net 30.
- Harbor & Pine commitment: Cal agreed to review payment terms with Maya before this call.
- Driftline commitment: Noor agreed to share store shelf allocations for apparel once terms are settled.
- Open question: Harbor & Pine cash flow models generally assume net 30, so agree today whether to offer net 45 as a compromise.
External context
- Driftline expanded to Astoria earlier this summer. No recent press releases appear in HubSpot or inbox records.
Automation steps. Your assistant follows these 5 steps each time it runs, using your connected email and calendar.
- 01
Before a meeting that deserves preparation (external, first-time or high-stakes), brief me on it.
- 02
Skip internal standups and routine one-on-ones.
- 03
Research the attendees: who they are, my email history with them, and their company's recent news.
- 04
Pull what we promised each other last time from past threads and meeting notes, open items first, and note anything new since we last spoke.
- 05
Lead with the one thing I should say or ask, then who's in the room, then the context.
Adjust the automation in chat
Tell your assistant what to do differently and it sets up that version for you.
- Send meeting briefs a day ahead instead of an hour before.
- Only create briefs for meetings with contacts linked in HubSpot.
- Include past commitments recorded in Granola transcripts.
Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.
What starts this automation
Runs 1 hour before a meeting with someone outside your organization. When you add it, choose the lead time and which meeting titles to match.
Only useful reports
When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.
What it does on its own
Researches attendees and writes briefs on its own. Changes nothing and contacts no one. An automated run has no tool that sends, posts, shares, or deletes anything.
This automation reads your email and calendar. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect. It also uses your meeting notes, CRM when connected.
Questions about this automation.
- How do I set this up?
- Go to your assistant on the Agents page in Fieldwork, locate Meeting brief in the job library, and select Add. If your calendar, email, CRM, or meeting note tools are not connected yet, the setup card prompts you to link them first. It turns on to run 60 minutes ahead of eligible meetings, and you can adjust that lead time whenever you like.
- What does it do on its own, and what waits for me?
- It gathers past notes, inbox threads, and CRM records on its own to draft your briefing. It never contacts attendees, sends messages, updates records, or changes your calendar. Reading the brief and running the meeting remain entirely up to you.
- Where do the briefs arrive?
- Briefs arrive as messages directly inside your Fieldwork conversation, and Fieldwork can also email them to you. If an upcoming meeting has no external guests or needs no preparation, the assistant remains quiet.
- Which meetings trigger a brief?
- The automation checks your calendar for calls that include people outside your organization. Internal check-ins and standard one-on-ones are left out so you only receive preparation for high-stakes external discussions.

No training on your data
Neither we nor our model providers train on your data. Inference runs with zero retention wherever the provider supports it.
Access
Agents only see what the person asking can see. Conversations, files, apps and connections stay private until shared, and admins have no way into conversations.
Encryption and isolation
Data is encrypted at rest and in transit. Each user's code runs in its own microVM, and secrets reach models by name only.
Continuity
Continuous backups, replicated to a second region. Data is exported on request and deleted within 30 days of a contract's end.
