Automation steps. Your assistant follows these 5 steps each time it runs, using your connected email and calendar.
- 01
While I have an event coming up, check each day what it depends on against its date: promotion scheduled, registration page live, speakers confirmed, slides ready, reminders set.
- 02
Flag what's at risk, nearest first, splitting what's waiting on me from what's waiting on others, and draft the next promotion or reminder when it's due.
- 03
Right after the event, separate attendees who engaged from no-shows and draft tailored follow-ups for each within a day.
- 04
Ask me where registrations are tracked if you can't find them.
- 05
When no event is coming up, stay quiet.
Adjust the automation in chat
Tell your assistant what to do differently and it sets up that version for you.
- Only track events that have more than ten invitees.
- Look for event tasks in Linear instead of Notion.
- Draft reminder emails three days before the event instead of one day.
Results arrive as a message from your assistant. Each run posts to your conversation with your assistant, and can email you too. The automation keeps a log in your knowledge base and reads it before each run to see what has changed.
Adjustable schedule
Runs every weekday at 08:00 by default. Pick another time when you add it, or ask in chat for a custom schedule.
Only useful reports
When nothing needs attention, the run says so in a line or stays quiet. When there are findings, you get them with a link to the full run.
What it does on its own
Tracks deadlines and drafts event promotions and follow-ups. Every message waits for you to send. An automated run has no tool that sends, posts, shares, or deletes anything.
This automation reads your email and calendar. Connect Google Workspace or Microsoft 365 to Fieldwork. The automation uses whichever you connect. It also uses your CRM, tasks when connected.

Questions about this automation.
- How do I set this up?
- Open your assistant on the Agents page in Fieldwork, locate Event coordination in your job library, and choose Add. The card lets you connect Google Workspace or Microsoft 365, plus task managers like Linear or CRMs like HubSpot, on an 8:00 AM weekday schedule.
- Does it send emails or reschedule milestones on its own?
- No, it never sends messages, publishes pages, edits calendar invites, or alters tasks. It checks deadlines across your tools and leaves every promotional or reminder message in your drafts folder for your review.
- Where do these reports arrive?
- Reports arrive as a message in your conversation with your assistant and can also be sent to your email. If there are no active upcoming events on your calendar, the automation stays quiet.
- How does it handle post-event follow-ups?
- Once an event concludes, your assistant reviews attendance from Fieldwork meeting recordings and calendar records to separate attendees from no-shows. It then prepares tailored follow-up drafts for each group in your email drafts folder within one day.

No training on your data
Neither we nor our model providers train on your data. Inference runs with zero retention wherever the provider supports it.
Access
Agents only see what the person asking can see. Conversations, files, apps and connections stay private until shared, and admins have no way into conversations.
Encryption and isolation
Data is encrypted at rest and in transit. Each user's code runs in its own microVM, and secrets reach models by name only.
Continuity
Continuous backups, replicated to a second region. Data is exported on request and deleted within 30 days of a contract's end.
